Faculty Guidelines: Reserve

To ensure timely processing of Course Reserve Lists, we ask faculty to use the following guidelines when submitting material or readings lists for your course. Please note that there are separate guidelines for Electronic Reserves.

Submitting Items for Reserve

Although Reserve will accept items submitted at any time during the semester, it is always best to submit at least three weeks prior to the start of the semester to avoid delays. 

Processing time for items submitted directly to Reserve staff will take a minimum of 24 hours but can take as long as a 5 working days (Monday - Friday) depending on the number and types of items, submission date and number of courses in the queue ahead of yours. All courses are processed in order of receipt on a Monday - Friday schedule during normal business hours. No processing of submissions occurs at nights or on weekends. 

A short form is required to be filled out with the following information:

  • Instructor's name
  • Department
  • Course number
  • Section number
  • Course title
  • Semester (Fall, Spring, Summer)
  • Loan period (2 hours non-circulating, 1 day, 3 days, 7 days)

The Library will accept the following types of materials for Reserve:

  • Library books from the General Collection
  • Photocopies of articles, exams, papers, essays, and selected book chapters for scanning and linking to WebCT Vista.
  • Personal books, manuals, notes, solutions, sample exams, etc.

The Library will return photocopies that exceed limits set forth in the Fair Use Guidelines of the Copyright Revision Act of 1976. 

The Library will NOT accept the following types of materials for Reserve:

  • Books from the Reference Collection
  • Books from Special Collections
  • Journals (bound or unbound) from the Library's collection
  • Books belonging to other libraries

Loan periods for Reserve materials:

  • 2 hours non-circulating (library use only)
  • 2 hours circulating (may leave the building)
  • 1 day
  • 3 days
  • 7 days

Loan periods depend on type of material:

  • Library books, personal books and manuals can be assigned any loan period as listed above.
  • Photocopies, notes, solutions, and exams are assigned only the 2 hour loan period.

Faculty may make exceptions to the circulating policy of any item on their Reserve Reading List except for library items that have a permanent non-circulating status. Reserve requires that the student present a signed permission note to a Reserve staff person between the hours of 8 am and 5 pm, Monday - Friday before an exception can be made. 

Submitting a Reading List for a Reserve Course

Faculty may submit a reading list consisting of library books and bound journals for their courses. Lists should be submitted at least 3 to 4 weeks prior to the start of the semester. Processing time for a reading list is 3 to 10 working days (Monday - Friday).  No processing is done evenings or weekends.

Lists may be submitted in person, via campus mail, or by the Reserve Request Form on Falvey Library's home page.

Reserve staff cannot accept requests over the phone.

Reading lists should include the following information:

  • Instructor's name
  • Department
  • Course number - Section number
  • Course title
  • Semester (Fall, Spring, Summer)
  • Loan period (2 hours non-circulating, 2 hours circulating, 1 day, 3 days, 7 days)

Book information should include:

  • Author
  • Title
  • Call number

Submitting Readings for Electronic Reserve

 

Please follow the guidelines listed below to ensure timely processing of readings for Electronic Reserve.

Guidelines for Electronic Reserve

  • Readings must be very good quality photocopies (poor quality, illegible or badly skewed copies will not be scanned).
  • Photocopies must be less than 25 pages, 8 1/2 x 11, single-sided preferred.
  • Full citation should accompany readings (if applicable).

Material for Electronic Reserve must be submitted with a Reserve Request Form. Request forms can be picked up at the Circulation Desk or you may download and print the PDF version online (Adobe Acrobat required). Just click on this link, Electronic Reserve Request Form.

  • Fill in request form completely, including your full name, department, course & section numbers, email address and phone number and submit with the material.
  • Submit all material at least 4 weeks before the beginning of the semester (material submitted late may not be ready by the beginning of the semester).  During the semester, material should be submitted 5-10 working days before the students will need to access it.

Photocopied material must comply with copyright law and fair use as detailed below:

Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy or reproduction is not to be used for any purpose other than private study, scholarship, or research. If a user makes a request for, or later uses, a photocopy for purposes in excess of fair use, that user may be liable for copyright infringement. This institution reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.

Material rejected due to copyright concerns will be returned to you.
